Your job as a leader is to take advantage of the available technology, such as the internet, web conferencing, and telecommunications, while understanding and overcoming technology’s limitations For instance, if your workforce is located in multiple places, don’t rely solely on satellite or internet connections for interacting with your employees Take the time and make the effort to travel to those locations so that you can meet them, listen to them, and show them that you are a real human being who cares about their growth and development

Another good option is to arrange work exchanges among different workgroups Send a small group of employees from one location to spend a few days in another location, and then reverse the process Your team will appreciate the opportunity to expand their horizons and the personal connections made on such a trip are likely to create improved work performance

Clarity and brevity must take priority in our fast-paced, information-overloaded world

Remember the old days when people wrote to impress others rather than to communicate with them? Many writers used formal language and multi-syllable words that no one ever said out loud, like “notwithstanding” and “heretofore” Now only Lawyers talk like that

Here are five tips for better business writing:

1 Write below the 8th-grade level Some writers worry that this may insult the intelligence of their readers But in reality, no one ever complains that something is too easy to understand! Studies show that writing below the 8th-grade level achieves the best results It’s not that your readers are dumb; they just don’t have time to process complicated messages

Note–Here’s how to check the readability of your writing when using MS Word: Under “Tools” click “Options” and then “Spelling & Grammar ” Select the “Check grammar with spelling” box and the “Show readability statistics” box then click “OK ” The next time you complete a spell check, it will display information about the reading level If the “Flesch-Kincaid grade level” is above 8, edit your document to make it easier to understand

2 Get to the point immediately As a general rule, state the reason for your correspondence in the first sentence

Good: “We’ve already filled the position for which you applied ” Bad: “We wish to thank you for inquiring about employment opportunities at Joe’s Networking, Inc We are an equal-opportunity employer and are always looking for talented individuals to join our team Your experience and educational background are truly impressive Unfortunately, the position for which you applied has already been filled and we are therefore no longer accepting applications ”

3 Get active (use active voice, not passive) It not only burns more calories, it clarifies your writing and gives it more impact! Good: “We like your ideas and will implement them by the end of the year ” Bad: “The ideas you proposed have been reviewed and found to be acceptable and appropriate An implementation schedule has been developed with the goal of being completed by the end of the year ”

4 Use fewer words People are busy; be brief!

Good: “We will not tolerate sexual harassment Please read the attached policy Call Mr Write if you have questions ”

Bad: “This is to inform all employees that sexual harassment of any kind will not be tolerated under any circumstances by this organization Be advised that, in order to clarify the company position on this subject, the attached policy has been developed and provided for your reference Your cooperation in this important matter is appreciated Please do not hesitate to contact Mr Wright if he can be of further assistance or provide you with additional information about this issue ”

5 Include a clear call to action If you are writing for a purpose other than to inform, tell your readers exactly what you want them to do

Good: “Please sign the attached form in Block 10 and return it to me by May 1st ”

Bad: “It is our desire to receive an indication of your concurrence as soon as possible ” Here’s a bonus tip:

6 Do not repeat numbers Spelling out numbers and then repeating them as digits within parentheses is redundant and unnecessary

Use this basic rule: less than 10 or beginning a sentence, spell it out; more than 10, use digits

Do NOT do both!

Good: “We collected 13 samples ”

Bad: “Thirteen (13) samples were collected ”

By any measure, the success of a proposal program will be evident in how well individual proposals and RFP activities are carried out However, here are five fundamental ways that any proposal program can be measured-up and managed for success:

1 Repeatability More than just re-purposing or re-using content, true repeatability involves some measure of automation For example, workflows and notifications that keep proposal team members informed The more automated a program is, the more time-saving repeatability it will offer

2 Fairness Non-biased preparation and results scoring are just the start Having standards for grading and defined procedures in which grading takes place not only improves fairness, it also lays the foundation for certifying fairness after the fact

3 Organization The success of every proposal process rests on how well-organized all the supporting documents, schedules, and content are kept Project management is one-half the story; the other half is making sure every related document and communication is properly saved and readily accessible

4 Collaboration Proposals, and the content involved in creating them, are rarely the work of individuals; rather they are the joint effort of a team Proposal team members must share, contribute, review, and analyze the same material Proposal content must therefore be managed in a structured environment that facilitates access and use while protecting against information loss

5 Accuracy Accuracy is good, but actually improving accuracy is a better goal Process improvement and accountability are a couple of the more effective ways to drive increased accuracy Process improvement is making sure that what is learned from one cycle is reapplied in the next Just as important, however, (and often given less attention) is accountability Logging activities will give an understanding of what actions occurred so that any corrections that might be needed can be easily identified

In the development phase, as proposal teams work within in their group and with line-of-business managers to produce documents, schedules, and benchmarks, everyone’s ability to share and exchange information is critical There is a real need for collaboration tools - things like document version control, and review and approval processes Accuracy and efficiency are key here to make sure the proposals go out on time, and that proposals are set on the correct path, without errors, right from the start

Once in distribution, as proposals go active to the outside world, a system is needed to capture and document all the communications The entire process must be accurately managed so that messages are recorded, responses are approved, and proposal team members are kept informed Incorporate email records too, which will greatly reduce the risk of lost messages, and increase the ability to automate certain functions such as internal notifications

Author : maureen collinsYour organisation probably has an established schedule for performance appraisal interviews When a person is not performing however, you cannot afford to wait for the next planned appraisal You need to talk now!

There is scarcely an employee who does not need a constant answer to the question: How am I doing? And there are few employees who would say that the question is answered by their managers in a regular, detailed and helpful way Giving feedback on performance is a difficult conversation for most managers We prefer to avoid conflict and put off the conversations that risk becoming arguments Unfortunately, the longer you delay talking about things that need to be discussed, the more difficult and confrontational they are likely to be when finally you do speak up

When someone is not performing, and you say nothing, the person has no way of knowing how you feel They may be unaware that you are unhappy, unaware of the implications of their behaviour and unaware that you are becoming increasingly frustrated and angry

When you do not speak up about a problem, you are tacitly accepting the way the person is behaving If you do not confront a poor time keeping situation for example, people will continue to arrive late! If you accept missed deadlines without speaking up, deadlines will continue to be missed
When you do not speak up people continue with their behaviour, assuming that because you have said nothing, everything is just as you want it to be

Meanwhile, you become more frustrated As your emotions rise, it becomes more difficult for you to speak calmly about the situation When you finally open a conversation, it is from a highly emotional state It sets the background for you to go into the conversation blaming and accusing; creating just the kind of confrontation you dreaded!

When you eventually speak up, the person is surprised and perhaps embarrassed to find you are dissatisfied with how they have been performing They may feel they have been deceived and may respond with justifiable indignation and anger A difficult conversation can turn into just the kind of confrontation you dreaded!

And sometimes events overtake us! Your emotions may one day run away with you and instead of planning a conversation, you burst out with anger and accusations accompanied by your raised voice, finger pointing and threats This is exactly the kind of confrontation you dreaded!

The lesson is clear When you need to confront poor performance, the best time to do it is sooner, rather than later Problems that are ignored do not go away; nor do they stay the same Mostly they get worse As you become more upset about the problem, you become less competent to handle the conversation constructively, and the likelihood of argument and conflict increases

When someone is not performing, plan a conversation as soon as possible in which the issue can be raised calmly and can be cleared up Then you can move on These regular and informal feedback conversations do not take the place of planned formal appraisal of performance They do however make planned appraisals safer, easier, and less likely to contain surprises for unsuspecting employees Maureen Collins trains people how to handle difficult conversations, on difficult topics, with difficult people in her consulting practice, Straight Talk.
